Set up a player and representation contract

Create a trustworthy player dossier, record the agency’s authority to act and set up the commission the agency expects from it.

The player dossier is the shared source of truth

A player record brings identity, relationship status, market status, contracts, deals, documents, tasks, signals and audit history together. Create it once, keep the facts reliable and let the rest of the workspace build around it.

The representation contract records the agency's mandate with the player. The player's Commissions tab records the rates the agency expects from that mandate. These are related but distinct from the player's relationship status and playing contract with a club.

Find or create the player

Search the registry first

Search by the player's name or club before creating anything. Relai does not prevent two similarly named player records, and duplicate dossiers split contracts, tasks, documents and history.

Create manually or review an import

Choose New player for one record, or use the spreadsheet import for an existing roster. Imported players remain proposals until you review and approve them. An unresolved player in an email proposal can also be created as a new prospect during review.

Start with the legal identity

First and last name are required. Use Known as only when the player is normally identified differently; it becomes the display name across the app.

Complete the identity and football context

Add the date of birth, nationalities, positions, preferred foot and current club when they are known. These facts make the dossier easier to distinguish and improve the context used elsewhere in the workspace.

Current club describes where the player is now. It is not a substitute for the historical playing contract, which has its own club and dates. Leave uncertain details empty rather than turning an assumption into shared data.

Set the relationship state deliberately

Status describes the agency's relationship with the player. Choose what is true now; creating a representation contract does not update this status automatically.

Prospect
A player the agency may represent but has not yet secured.
Mandated
The agency has specific authority to act for the player.
Client
An ongoing represented relationship rather than a single pursuit.
Former
The relationship is no longer active, but its history should be retained.

If a prospect reaches the Secured mandate stage in Pipeline, Relai marks the player as Mandated and offers an immediate undo. When creating the contract from the player dossier, review the status yourself after saving.

Add the representation contract

Open the player dossier

Select the player in the registry, find Contracts and choose Add contract. Use the same dossier rather than creating another player record for a new mandate.

Choose Representation

Representation means the agreement is between your agency and the player, so no club is selected. Use Playing only for the player's employment contract with a club.

Record the signed term

Enter the start date when known and the required end date from the agreement. Add concise notes for relevant clauses or context that should remain visible beside the contract.

Set up the commission

Once the representation contract and the player's playing contract are recorded, open the player's Commissions tab. It lists the earnings from the playing contract and lets you set a commission rate against each one.

Rates are suggested, never assumed. The representation agreement's fee wording, or your agency's commission defaults, pre-fill undecided rows, and any wording that cannot be turned into a plain rate is flagged beside the row for you to decide. Confirming the setup is what records the rates.

Verify the setup before relying on it

Check the contract row

Confirm that it says Representation, shows You as the counterparty and contains the correct dates. Check the expiry indicator against the signed agreement.

Check the commission setup

Open the Commissions tab and confirm each rate against the signed agreement. Where a suggested rate came from scanned fee wording, check the wording it was read from before confirming.

File the signed agreement

Upload the signed document in the player's Documents section so the commercial record and its evidence remain together. Then review the player status and market status one final time.

Keep the dossier current

Edit contract dates or notes from its actions menu. If a commission rate was confirmed in error, edit the setup from the Commissions tab and confirm it again; the previous confirmation stays in the player's timeline.

All workspace members can create and edit shared player and contract records. Destructive actions are limited to owners and admins. When a relationship ends, mark the player Former and preserve the audit trail rather than deleting the record.
