One dossier, several independent truths
The player registry is the workspace's shared record of the people it represents or may represent. Each dossier combines the player's identity with contracts, deals, documents, tasks, signals and a chronological audit history.
Relationship status, sporting strategy and contracts answer different questions. A player can be a Prospect with a Transfer strategy, a Client approaching a playing-contract expiry, or Mandated under a representation contract. Relai does not infer one of these facts from another.
Player identity is the stable foundation
First and last name are required. Known as overrides the full name for display when the player is normally identified differently. Date of birth, nationalities, positions, preferred foot and current club provide football context without changing the player's relationship with the agency.
Current club is a present-day fact on the player. A playing contract is a dated legal relationship with a club. Updating one does not rewrite the other, so both should be kept accurate.
Player records can be created manually, approved from a spreadsheet import or created as a new prospect while resolving an email proposal. Search before creating: duplicate players split the contract and activity history across separate dossiers.
Relationship status answers “where do we stand?”
Status is the agency's current relationship with the player. It is visible across the registry and player dossier, but it is not automatically derived from a contract or deal.

Sporting strategy answers “what are we trying to do?”
Strategy records the player's current football objective. It can change while the relationship status and contracts remain the same, and it may be left as No strategy when no direction has been agreed.

Strategy changes are recorded on the player timeline. Clearing the strategy is an explicit state rather than an error or missing record.
Representation and playing contracts serve different roles
Contracts are nested inside the player dossier and have an optional start date, required end date, lifecycle status and notes. New contracts begin Active.

Expiry is derived from the contract end date
The registry and Timeline compare the end date with today. Contracts inside six months appear urgent, contracts six to twelve months away form the planning band, and later dates remain neutral. Past dates display as Expired in the expiry chip.
Active contracts also cross daily-alert thresholds at 365, 180, 90 and 30 days before the end date. Each threshold is recorded once and can contribute to the workspace briefing.
Commission terms belong to representation contracts
A representation contract can contain one or more commission terms, such as a percentage of salary, fixed fee, percentage of transfer fee, sell-on, conditional bonus or custom arrangement. Each term also records whether the agency acted for the player, engaging club, releasing club or both sides.
Terms are flexible entitlement rules, not ledger rows. When a related deal completes, only active terms on active representation contracts are eligible to compile into a draft payment schedule. A person must review and confirm that schedule before it enters the commission ledger.
The dossier connects the player’s work
Deals
Transfers, loans, free moves and renewals remain tied to the player dossier.
Documents
Signed agreements and supporting files inherit the player record’s visibility.
Tasks
Operational follow-up can be linked to the player and completed by the team.
Club requirements
Market intelligence can reference the player without copying sensitive text into the timeline.
Timeline
Important mutations form an audit narrative of the player, contracts, deals and commission.
The current club is a direct player fact; contracts and deals retain their own club relationships. This prevents a future club change from rewriting the history of earlier agreements and transactions.
Visibility, permissions and audit
Players, contracts and their linked CRM records are visible across the workspace. Members can create and edit them so another agent can continue the work when the original owner is unavailable.
Deleting players or contracts, terminating contracts and archiving commission terms are restricted to owners and admins. A player or contract with a commission term cannot be deleted; mark the player Former and preserve the contract's commercial history instead.
Player creation, identity changes, status and strategy changes, contract actions, deals, documents and commission activity all contribute events to the player's audit timeline.
