Start with the signed agreement
The strongest clause record begins with the contract itself. Relai can read a PDF, Word document or scan while you create the contract, then propose the parties, dates and material clauses with evidence beside each fact.
Extraction is a review aid, not an approval. You can correct any proposal, remove a clause that should not be retained or complete the whole form manually. Nothing is saved until you choose Add contract.
Upload the contract
Open the player dossier
Find the correct player in Registry, open the dossier and choose Add contract from the Contracts section. Search first so the agreement is not attached to a duplicate player record.
Attach the signed source
Drop the PDF, Word document or scan into the Contract document area. The file is linked to this player and becomes the source that extracted facts and clauses can reopen later.
Continue while Relai reads
The form remains usable while extraction progresses. Complete any obvious manual fields instead of waiting; proposed values appear as they become available and keep their source wording alongside them.
Review the contract facts
Confirm the contract kind
Choose Playing for the player's employment agreement with a club or Representation for the agency mandate. The kind determines which counterparties and related fields belong on the record.
Check the parties and dates
Match the club where a playing contract names one, then verify the start date, end date and any existing extension option against the cited wording. Leave uncertain facts empty rather than turning an extraction guess into shared data.
Decide how to treat an historic agreement
An expired contract is saved as history. Its extracted clauses remain reference records by default; choose Watch anyway only for a clause whose effect genuinely continues, such as an unresolved sell-on.
Review every proposed clause
Read the plain-language proposal
Check the clause kind and structured fields: rate, amount, threshold, consequence, condition or relevant date. Use Custom when the wording matters but does not fit one of the standard kinds.
Open the cited evidence
Use View source and See exact wording to compare the proposal with its page, clause reference and quote. Tables, schedules and cross-references deserve particular care because the financial meaning may depend on surrounding rows or definitions.
Correct or remove before saving
Edit wording and structured values where the document supports a correction. Remove anything that is not a real clause or should not become part of the player record. An empty clause list is valid when the agreement contains nothing material to watch.
Choose what remains active
Keep current clauses selected for monitoring. On an historic contract, leave a clause as reference evidence unless the team still needs the active Watch anyway workflow.
Save the reviewed record
Read the review summary
Check how many contract details and clauses were found, and resolve any blocking mismatch such as an unconfirmed club before continuing.
Choose Add contract
This single action saves the contract and the clauses you kept. Each extracted clause retains its source document and citation; manual clauses retain their manual provenance.
Verify the player dossier
Return to Contracts and Clauses on the player. Confirm the dates, state chips, plain-language meaning and evidence links before relying on the watch.
Maintain the watch inputs
Update appearance counts
Open an appearance clause's actions, choose Update appearance count, then enter the non-negative current count and the date it was checked. Approaching is derived from that evidence and the clause's warning distance.
Record a subsequent transfer
For an active sell-on, choose Record transfer or Record subsequent transfer. Enter the destination club, transfer date and optional fee from the evidence available to you.
Use the watchlist and briefing
Review Triggered first, followed by Approaching, Needs input and Watching. The daily briefing also surfaces newly approaching thresholds, stale counts and Triggered clauses that still need an outcome.
Act on a trigger without skipping review
Record why the clause triggered
Use the clause action and add the evidence or reason. An appearance-triggered extension also requires the proposed new contract end date; a transfer action retains its club, date and optional fee evidence.
Follow the proposed next action
Sell-on and bonus watches can open the relevant Commissions flow. An extension opens the contract editor with the proposed date. Review the legal wording and commercial context before confirming anything in that separate workflow.
Keep possible and confirmed separate
Triggered means the event deserves action; it does not mean a payment is automatically owed or a contract has automatically changed. The downstream confirmation remains the authoritative decision.
Settle or lapse the watch
Mark a Triggered clause Settled after its consequence has been reviewed and handled. Mark a Watching or Triggered clause Lapsed when it no longer applies. Both actions require a reason so the player timeline explains why monitoring ended.
Settled and Lapsed clauses leave the active watchlist but remain on the player dossier as contract history. Do not delete a clause simply to clear attention when its evidence and outcome still matter.
