The deal is the working record
A deal records a transfer, loan, free move or renewal for a player already in your registry. It keeps the club, financial terms, target window, lead agent and negotiation stage together while related emails, documents, tasks and commission history provide the supporting context.
The five stages describe what is true now: Opening, Active, Agreed, Completed or Collapsed. Move the deal when that truth changes rather than using stages as a private to-do list.
Open the deal
Create it manually or accept a proposal
Choose New deal on the Deals page, or forward a relevant email to Relai and accept the extracted deal proposal after checking its evidence. Accepted email proposals retain a link back to the source message.
Identify the transaction
Select the player and choose Transfer, Loan, Free or Renewal. Add the club, lead agent, target window and any context the rest of the team will need. The player is fixed after creation because every event is audited against that player's timeline.
Enter the known economics
Record the fields relevant to the deal type: transfer or loan fee, option fee, wage and period, signing bonus, or renewal extension. Use the currency written in the agreement; Relai does not convert financial values.
Opening: build the context
Opening means interest is logged but the opportunity is still taking shape. Confirm the club and player, assign a lead agent, set the likely window and keep the source email or notes attached so another team member can understand why the deal exists.
Leave unknown financial fields empty rather than guessing. Update them when an offer or reliable terms arrive.
Active: work the negotiation
Move the deal to Active when talks, bids or offers are live. Keep the figures current as the negotiation changes and use linked tasks for the next action, owner and due date. File material documents against the deal so the working record and its evidence stay together.
You can drag the card between Board columns or edit its Stage field. Deals that remain in a non-terminal stage for more than 14 days receive a warning marker, making stalled work visible without changing its stage automatically.
Agreed: verify the final terms
Agreed means the terms are settled and paperwork is moving. Before completion, replace provisional figures with the final agreement and verify the details that will feed reporting and commission calculations.

Complete the deal
Confirm that the transaction has actually completed
Use Completed once the signed deal has happened—not merely when terms are agreed. If paperwork is still outstanding, keep the deal in Agreed.
Move the stage to Completed
Drag the card into Completed or edit the deal and change its stage. Relai records the completion time and appends a completed event to the player timeline. The deal remains available as historical reference, and its lead assignment can still be corrected.
Act on the commission prompt
When an active commission term applies, Relai surfaces a commission-to-confirm action. Review it immediately or use the Awaiting confirmation band on the Commissions page later; the payment ledger is not created until a person confirms the schedule.
Finish the follow-up
Confirm the commission schedule
If the player's active representation contract contains a commission term, review the calculation, installments and credited agent before confirming the ledger schedule.
Finish the operational tasks
Complete or reschedule anything created for paperwork, announcements, registrations or payment follow-up so no work is left behind on a closed deal.
Check the player timeline
The completed event and subsequent commission actions are recorded against the player, giving the team a durable history of what happened.

When a deal collapses
Use Collapsed when the opportunity is dead or deliberately parked. The deal stays in Relai for context, its closure is recorded on the player timeline, and the team can still see the source, notes and history without treating it as active work.
Do not delete a collapsed deal simply to tidy the board. Deletion permanently removes the record and is reserved for workspace owners and admins; Collapsed preserves the useful history.
